Description

1. Coordination, Monitoring and Oversight: A. Central AHEC Office staffing will be maintained within approved budget levels. At a minimum, there must be an Area Health Education Center (AHEC) Director and a Health Careers Coordinator to develop special projects that support the health careers pipeline initiatives. An organizational chart with job titles and names of individuals in each position will be on file in the AHEC Central Office business office. B. The AHEC Central Office will function in accordance with accepted fiscal and personnel policies, procedures and controls of the University of Kentucky. a. The AHEC Central Office Department Administrator/Business Administrator will provide oversight of all expenditure of funds provided through this contract including those allocated to the regional centers through the Subcontract Agreements. b. Monthly invoices submitted to the AHEC Central Office at the University of Kentucky by the regional centers will be reviewed and approved by the Program Administrator. C. The AHEC Central Office will maintain oversight over all AHEC programmatic areas and conduct an annual assessment of program outcomes. a. The AHEC Central Office will hold bimonthly Center Director meetings at which time short term planning, updates on activities, and discussion of emerging issues will occur. b. Quarterly reports that reflect levels of activity in the regional AHECs will be submitted to the AHEC Central Office by the regional centers and will be reviewed and placed on file by the Program Administrator and/or the Associate Program Administrator. II. Regional Planning and Coordinating: A. The AHEC Central Office staff will connect the regional centers to resources, programs and individuals that can provide assistance/information or models for program development in areas funded through this contract. B. The AHEC Central Office will provide the regional centers and others with the following services: a. Serve as a point of access to between individuals/programs and the regional centers. b. Serve to coordinate and connect programs where appropriate. c. Provide updates that relate to the ongoing activities of the regional centers. d. Serve as a coordinating entity to bring together programs and individuals involved in activities that are similar to those funded through this contract. C. The AHEC Central Office will lead a biannual AHEC Program strategic planning process to include initiatives funded through this contract. III. Health Careers: A. The AHEC Central Office, in coordination with the AHEC regional centers, will develop a plan for health career activities that provides a coordinated, longitudinal pipeline model. This plan will describe specific activities to be developed at the elementary, middle and high school levels and incorporate a sequential learning approach. B. The Health Careers Coordinator will coordinate health career activities among the regional centers based on the health career plan. C. In cooperation with the regional AHECs, the AHEC Central Office will track our students to permit accurate longitudinal assessment of the success of the health career initiative. D. The AHEC Central Office will provide leadership to and convene regional Health Career Coordinators with the goal of strengthening cooperative efforts and mutual planning. E. The Health Career Coordinator will make presentations to students in select schools within the Fayette/Central Kentucky region. F. The AHEC Central Office Health Careers Program Coordinator will facilitate an annual Health Careers Program retreat inviting all statewide Health Careers Program staff. IV. Evaluation: A. The AHEC Central Office will continue to provide a comprehensive annual evaluation of program outcomes based on the following: a. Quantitative data will be derived from the participant surveys that will be used to review and discuss outcomes and program evaluation. b. The regional AHEC Annual Reports will provide quantitative data regarding program activities specifically in the area of health careers. B. The AHEC Central Office will work with the regional Centers to determine specific measurable outcomes for program components funded through this contract. C. Quantitative data will be derived from the Summer Enrichment Camp and the Health Researchers Youth Academy evaluations to assess outcomes. D. The regional AHEC Annual Reports will provide quantitative data regarding program activities specifically in the area of health careers.
