Abstract
Clinical, and Reference Services
OBJECTIVE:
The objective of this paper is to describe the implementation and evaluation of a team-based structure for liaison, clinical, and reference services at an academic health sciences library, using Asana, a cloud-based project management tool. We will explore how the team-based structure enhances communication, collaboration, and accountability among librarians and staff, and how it affects service delivery quality and efficiency. We will highlight challenges and benefits of using Asana to support the team-based structure.
METHODS:
This discussion will cover the creation and execution of our team-based structure at the University of Kentucky. We began with regular group meetings to strategize the shift toward team-based operations and using a unified reference model. We tackled issues related to preserving service quality and patron relationships, while balancing curricular and clinical support. We will discuss the advantages and challenges of transitioning to Asana from SpringShare products. To clarify how our new system operates, we will provide examples from policy development, staff training, and feedback sessions.
RESULTS:
We used Asana to create and assign tasks, track progress, and communicate updates. We also created projects within the larger Asana team to focus on specific areas of service, such as liaison outreach, general reference, and evidence syntheses. These projects will allow for automated data collection, including metrics such as work hours on evidence syntheses, number of literature searches, and number of consultation/instruction sessions. Using Asana’s built in logic tools, we created an automatic method for statistic tracking which no longer requires team members to manually add statistics.
CONCLUSIONS:
Asana has enhanced our ability to communicate, foster collaboration, and evenly distribute tasks among colleagues. It has also improved our capacity to present statistics to administration, aiding in the decision-making process. Additionally, the adoption of Asana and new policy has transformed our previously informal team approach into a formalized framework.
